Committees

Many hands make light work. Because we are such a large club, the Kiwanis Club of Richmond is able to participate in numerous service projects throughout the year, and we have committees which facilitate this vital part of our mission. We also have committees dedicated to service within our club, handling everything from planning our speaker schedule, cashiering club meetings, communicating with members, and other administrative needs. In order to carry out all that we do, each member is asked to serve on one or more committees as they are able.

Below is the list of committees for the current Kiwanis Year. Most of these committees continue year after year, but as our community partnerships or adminstrative needs change, we update the list and committee chairs each year.

Committee chairs serve for a term of one year, and the incoming President may ask them to continue if they wish to do so.

Anniversary
Williamson, Brad
1. Develop a plan of action to include a series of events, a timeline associated with those events, a budget to support the events, and coordination of all public relations activities in celebration of the Club’s 100th Anniversary in 2019.
Archives
Sexton, Tim
1. Collects printed or tangible Club records and memorabilia 2. Establishes, implements, and maintains a retention and disposal schedule 3. Coordinates the storing/display of items with the Virginia Historical Society 4. Assists the 100th Anniversary Committee in planning by: updating the Club history publication; promoting member participation in 100th anniversary events; and developing video presentations (i.e. member interviews). 5. Assists Executive Director in producing printed material highlighting archived materials.
Blue Sky Fund

1. Works with staff of Blue Sky Fund to indentify new volunteer opportunities for Club members. 2. Solicits and coordinates volunteers from the Club in a new service project or projects with this organization. 3. Works with the Foundation Board to determine funding needs, if any.
Boys & Girls Clubs

1. Works with staff of Boys & Girls Clubs of Metro Richmond to indentify new volunteer opportunities for Club members. 2. Solicits and coordinates volunteers from the Club in a new service project or projects with this organization. 3. Works with the Foundation Board to determine funding needs, if any.
Carver Elementary

1. Coordinates volunteers for Club reading days at Carver Elementary School. 2. Communicates with school administration. 3. Coordinates volunteers to participate in other events at the school as needed. 4. Strives to maintain a high level of member participation in on-going projects.
Cary Elementary
Mahone, John
1. Coordinates volunteers for First Friday reading days at Cary Elementary School. 2. Communicates with school administration. 3. Coordinates volunteers to participate in the Terrific Kids awards program and other events at the school as needed. 4. Strives to maintain a high level of member participation in on-going projects. 5. Work to establish a K-Kids Club at Cary and recruit a Club Representative to a K-Kids club at Cary.
Children's Hospital
Harris, Harry
1. Plans and coordinates Club involvement in the Children’s Hospital annual Christmas party, including obtaining gifts, entertainment, Santa Claus, refreshments, etc., as requested by the hospital. 2. Distributes bicycle helmets through local elementary schools as part of the Hospital’s bike safety program in May. 3. Solicits volunteers for the Hospital’s Health & Safety Day each spring and Fire Safety Day in the fall. 4. Works with the Foundation Board to determine funding needs.
Church Hill Activities & Tutoring (CHAT)

1. Works with staff of CHAT to indentify new volunteer opportunities for Club members. 2. Solicits and coordinates volunteers from the Club in a new service project or projects with this organization. 3. Works with the Foundation Board to determine funding needs, if any.
CKI Club VCU
Bussey, Dennis
1. Provides assistance and guidance to maintain and grow the CKI Club at VCU. 2. Provides assistance and guidance to maintain and grow the CKI Club at UR. 3. Attends meetings of the CKI Club and encourages visits by other members. 4. Coordinates one or more joint service projects with our Club. 5. Encourages attendance of CKI members at meetings and conventions beyond the local level. 6. Arranges for visits of CKI members and/or sponsors to regular Club meetings. 7. Determines annual budget required and makes recommendation to Foundation Treasurer.
Club Communications
Donahue, Jim
1. Publishes the Builder in coordination with the Club’s Executive Director. 2. Sends weekly “Friday Notes” email to all members. 3. Maintains the Club web page, including information about committees, club programs, service projects, and social events. 4. Updates and publishes the membership directory by October of each year. 5. Actively solicits news articles from the Board, Committee Chairs and the membership in general. 6. Ensures the Builder communicates Club activities, goals, and accomplishments and serves as an educational medium on Kiwanis as an international organization. 7. Helps introduce new members to the Club through articles on each individual and helps all members get to know others better through articles and pictures.
Concern
George, Bill
1. Contacts or visits with Club members who are unable for health reasons to attend lunch meetings. 2. Informs membership with health updates. 3. Develops a follow-up system to stay abreast of members who are medically unable to participate in club activities. 4. Maintains contact with members who are ill.
Development
Atchison, Mark

1. Makes a recommendation to the Board for an attainable annual goal for Foundation contributions by October of each year and communicates this goal to Club membership. 2. Solicits donations to the Annual Appeal to support the Foundation, asking for 100% Board participation in October and sending solicitation letters to the membership in November, with follow-ups in the Builder, email, website, Facebook, and other communications vehicles. 3. Works with Executive Director to ensure donors to the Foundation are acknowledged and recognized each year. 4. Investigates and implements various ways of involving members in Planned giving to increase the funding of the Foundation. 5. Encourages memorial gifts to the Foundation.

FeedMore/Salvation Army

1. Solicits and coordinates volunteers from the Club in service projects involving FeedMore Foodbank. 2. Works with the Salvation Army to coordinate the Club’s annual Christmas kettle bell ringing. 3. Solicits and coordinates volunteers from the Club in staffing the kettle bell ringing. 4. Works with the Foundation Board to determine funding needs, if any.
Fellowship

1. Coordinates three events for the Club: Presidents’ Reception in September, Holiday Party in December, and a spring/summer social event (coordinated with the Growth & Retention Committee as a welcoming event for new members). 2. Organizes special social events such as a “theater night,” baseball game, etc. that would appeal to a cross-section of the Club membership. 3. On a regular basis (at least annually) gathers feedback from the membership regarding fellowship functions.
Foundation Partnership

1. Committee chaired by the Foundation Treasurer. 2. Committee members shall be appointed by the incoming president and will include at a minimum the immediate past president, current president, president-elect and other Club members as is deemed necessary. 3. Annually reviews current partnerships to which the Foundation provides funds and uses the Grant Request Process to ensure that all appropriate information is gathered prior to recommending funding. 4. Makes recommendation to the Foundation Board on the funding level that should be provided to each current Foundation Partner. 5. Reviews new partnership proposal requests submitted by the Club President for Foundation funds and makes recommendations to the Board on how to proceed. 6. Reviews and updates the Grant Request Process and makes recommendations to the Foundation Board as appropriate. 7. Oversees administration of the Adopt-a-School grant program with input from the Board and members of the School Projects committees
Golf Tournament

1. Plans and implements the Annual Golf Tournament as a fundraising event. 2. Evaluates the effectiveness of each tournament and makes modifications as needed.
House

1. Works with Executive Director on all aspects of Club meetings at the Virginia Historical Society, including: set up of the outer lobby, set up of the speaker podium, use of the sound system and video screen, and other details as needed. 2. Assigns Club members to take lunch money and provide cards to guests and prospective members. 3. Ensures that New Member Packets are available. 4. Provides the names of the tellers and checkers to the Builder monthly.
Interclubs
Priddy, Bob
1. Schedules at least two Interclubs per month with other Kiwanis clubs to meet Kiwanis International goals. 2. Promotes interclub opportunities to the Club membership and recruits members to attend. 3. Reports Interclub activity to the Executive Director on a monthly basis.
Investments
Philips, John
1. Manages the invested assets of the Foundation in a long-term and fiscally responsible manner. 2. Evaluates the performance of the investment advisor annually. 3. Recommends the professional investment advisor to the Board and has the authority to take action after Board approval. 4. Reports to the Board, at least quarterly, on the status of the investment and funds; determines the amount of funds available for service projects based on a formula approved by the Board.
Key Clubs
Ryan, Jim
1. Provides assistance and guidance to Key Clubs that we are currently working with: Community High, Thomas Jefferson High, the Governor’s School and Benedictine. 2. Looks for ways to work with the CHAT Key Club. 3. Manages the awarding of scholarships to deserving high school seniors, the amount of the scholarships to be approved by the Board. 4. Attends meetings of Club-sponsored Key Clubs. 5. Coordinates one or more joint service projects with our Club. 6. Arranges for visits of Key Club members and sponsors to regular Club meetings. 7. Encourages attendance of one or more Key Club members at Key Club conventions and/or other meetings beyond the local level. 8. Encourages school administrators/guidance counselors to send representatives to the Key Leader event and assists with follow-up. 9. Determines annual budget required and makes recommendation to Foundation Treasurer.
Laws
Addison, Dave
1. Reviews By-laws of the Club and Foundation annually and recommends any revisions when required or appropriate. 2. Advises the Executive Committee and the Board of Directors on legal matters pertaining to Club or Foundation business. 4. Provides By-law interpretation, and reviews and interprets policy changes recommended or required by Kiwanis International and takes appropriate action to make the Club aware of these changes. 5. Keeps Club policy manual up to date with policy changes enacted by the Board, including the Youth Protection Policy. 6. Reviews Club insurance policy and makes recommendations when necessary.
Membership Recruitment

1. Is responsible for achieving a net gain in membership at the end of each fiscal year. 2. Annually develops, implements, and evaluates a strategy to recruit new members for the Club, including special events, open house socials, and recruitment contests. 3. Encourages current members to bring guests and prospective members to meetings. 4. Recruits members from under-represented groups and businesses and identifies and implements strategies for increasing the diversity of the Club.
Middle School Tutoring
Clement, Sam
1. Coordinates volunteer tutors to work in an area middle school. 2. Identifies a middle school in which to serve, and serves as liaison with the school to ensure effectiveness of the program. 3. Evaluates our tutoring commitment and makes recommendations for modifications as appropriate. 4. Strives to maintain a high level of member participation in the project.
Music
Purdy, Dave
1. Provides pianist (or other instrumental accompaniment) and song leader for all meetings. 2. Plans special musical activities and programs in conjunction with other committees as appropriate.
Orientation & Retention
Watson, Bill
1. Is the first committee to which every new member is assigned until they have completed their “Red Dot” requirements. 2. Provides new member orientation to assure new members are informed regarding the operation of the Club and Foundation and how we relate to Kiwanis International and the community. 3. Administers the new member identification and orientation (“Red Dot”) system, recommends new member requirements to the Board, and facilitates completion of requirements within 120 days. 4. Annually develops, implements, and evaluates a strategy to improve retention of both new and seasoned members. 5. Recognizes 100% attendance in October of each year and encourages submitting make-ups in a timely fashion. 6. Recognizes members who have achieved Legion of Honor status. 7. Tracks key retention indicators such as attendance, dues delinquency, committee involvement, and participation in service projects. 8. Reports to the Board who may be at risk of leaving the club, reasons for resignations, and any retention challenges.
Public Relations
Price, Andrew
1. Annually develops, implements, and evaluates a public relations and marketing plan. 2. Utilizes Facebook and other appropriate social media outlets to promote and publicize speakers, community service, and Foundation activities. 3. Serves as the channel for all Club publicity and news releases to tradtional media outlets. 4. Investigates paid advertising opportunities. 5. Increases Kiwanis name recognition at community events in which we participate. 6. Works with the Communications Committee to ensure the Club Website is current and reflects the PR and marketing plan.
Reception
Scott, Tom
1. Provides door greeters for all meetings. 2. Assimilates new members into the greeting function. 3. Reviews guest cards and introduces guests and their hosts at the meetings. 4. Returns guest cards to the Executive Diector for appropriate follow-up. 5. Provides the names of the greeters to the Builder monthly.
Relationship Foundation

Speakers

1. Obtains speakers and provides interesting, diverse, topical, thought-provoking, and entertaining programs for our weekly meetings. 2. Plans programs from January through December to allow for a transition period for the new committee. 3. Provides biographical information for the Builder, website, and Friday Notes at least a month in advance of a speaker’s scheduled appearance. 4. Maintains communication with Directors and Committee Chairs to schedule internal programs as appropriate.
Spiritual Aims
Macaulay, Clay
1. Schedules invocations for weekly Kiwanis luncheon meetings. 2. Seeks opportunities to encourage a greater consciousness of the value of religious and spiritual values, but supports no specific creed of faith. 3. Ensures deceased members are recognized in memorium at Club meetings. 4. Obtains the speaker for programs scheduled around the holidays of Thanksgiving, Christmas, and Easter/Passover 5. Assists Division leadership with the annual prayer breakfast, when held. 6. Looks for ways to support human and spiritual values in the community.
Virginia Voice
Arnold, Jon
1. Promotes volunteer opportunities at Virginia Voice and helps insure that volunteer needs are met. 2. Conducts annual fundraising project to support Virginia Voice and send children from our Community Partners to a Flying Squirrels baseball game. 3. Works with the Foundation Board to determine funding needs and expectations
